Privacy Policy
The Digital Battalion · Last updated: 22 October 2026
This Privacy Policy explains how The Digital Battalion (“TDB”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you visit thedigitalbattalion.com, contact us, use our link building and outreach services, or when we contact you in the course of our work. We aim to comply with the UK GDPR, the Data Protection Act 2018, the EU GDPR and other data protection laws that apply to us.
-
Who we are
The Digital Battalion is a link building and outreach agency registered in the United Kingdom ([Company Registration Number]), with its registered office at [Registered Office Address]. We are the data controller of the personal information described in this policy, except where we act as a processor for an agency client (see section 9). For any privacy question, use the contact details in section 15.

Information we collect
Information you give us
- Contact details: your name, business email address, phone number, company name and job title when you complete a form, request a free audit or proposal, subscribe to updates, or contact us by email, phone, LinkedIn, WhatsApp or other channels.
- Project information: your website address, competitors, target pages, keywords, industry, goals, budgets, and any briefs, articles or brand guidelines you send us.
- Client account information: billing details, invoices, approvals, campaign preferences and, if you choose to share them, limited access to tools such as Google Search Console or analytics so we can complete an audit or campaign. We recommend view-only access, which you can revoke at any time.
- Communications: the content of messages, emails and call notes between you and us.
Information collected automatically when you use our website
- IP address, browser and device type, operating system, language, referring page, pages viewed, time and date of visit, and general location (country or city level).
- Cookie and similar identifiers (see section 5).
- Security and error logs created by our website host and security tools.
Information about business contacts from other sources
To find potential clients and relevant publishers, we research and contact people in their professional capacity. This may include a person’s name, job title, business email address, business phone number, company, website and professional profile (for example on LinkedIn). We obtain this from:
- publicly available web pages such as company websites, publisher contact pages and “write for us” pages;
- professional networks and business directories;
- domain registration (WHOIS) records;
- contact-data and email-verification tools (for example Hunter.io), which check whether a business email address is valid without sending a message to it.
We use a combination of manual research and automated tools. If we contact you because we found your details this way, this policy is our notice to you, and section 4 explains how to stop further contact.
Publisher and editor information
When we run outreach on behalf of clients, we communicate with website owners and editors. We collect their name, business contact details, site information, rates, agreed terms, invoices and payment details they provide, publication dates, and the content of our correspondence.
Sensitive information
We do not intentionally collect special category data (such as health, religion or political opinions) or payment card numbers through this website. Please do not send us this information.
-
How and why we use your information
Under UK and EU law we must have a legal basis for each use of personal information. Ours are:
- Responding to enquiries and preparing audits, quotes and proposals: contract (steps taken at your request before entering a contract) and legitimate interests.
- Delivering our services, including research, prospect lists, outreach, content writing, placements, reporting and the 12-month replacement warranty: contract.
- Invoicing, accounting, tax and record keeping: contract and legal obligation.
- Contacting prospective clients about our services: legitimate interests in growing our business, balanced against your rights. You can object at any time.
- Contacting publishers and editors to secure placements for our clients: legitimate interests of TDB and our clients, and performance of our contract with the client.
- Sending newsletters or marketing emails: consent, or legitimate interests where the law allows direct marketing to business contacts.
- Operating, securing and improving our website and services, including analytics and fraud prevention: legitimate interests, and consent for non-essential cookies where required.
- Protecting our legal rights, resolving disputes and complying with the law: legitimate interests and legal obligation.
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
-
Outreach messages and how to opt out
We send outreach emails and messages to business contacts, including prospective clients and publishers. We keep these relevant to your role and business, and every marketing message includes a clear way to opt out.
To stop us contacting you, reply “unsubscribe”, use the link in the message, or email hello@thedigitalbattalion.com. We act on opt-out requests without undue delay. To make sure we do not contact you again, we keep a minimal record of your email address on a suppression list. You also have the right to ask us where we got your details and to ask us to delete them (see section 11).
-
Cookies and similar technologies
Our website uses cookies and similar technologies to work properly and to understand how it is used. These may include:
- Strictly necessary cookies: needed for the website to function, keep sessions and forms working, and maintain security. These do not require consent.
- Functional cookies: remember your preferences and support features built into our website’s theme and page builder.
- Analytics cookies: help us understand which pages are useful (for example, through Google Analytics if enabled). Where required by law, we only use these with your consent.
- Embedded and third-party content: our pages may load fonts from Google Fonts or embed content such as YouTube videos or Google Maps. These providers may receive your IP address and set their own cookies.
You can control cookies through any cookie banner we display and through your browser settings. Blocking some cookies may affect how the website works.
-
Who we share information with
We share personal information only where needed, and only with:
- Clients: when we run a campaign, we share details of the publishers and editors we contact, live placement URLs and dates, and copies of editor invoices, which may include the publisher’s business name, contact name and payment details. This is part of our transparent reporting model.
- Publishers and editors: with your approval as a client, we share your brand name, website, article content, target link and the contact details needed to complete a placement.
- Service providers: hosting and website providers (including Hostinger), Google Workspace and cloud storage, CRM and automation tools, email delivery and newsletter tools, contact-data and email-verification tools, SEO software (such as Ahrefs), accountants, banks and payment providers. They act on our instructions or under their own privacy terms.
- Our team: employees, contractors and collaborators who need access to do their work and are bound by confidentiality obligations.
- Professional advisers, regulators and law enforcement: where we are required to by law or to protect legal rights.
- Business transfers: a prospective or actual buyer or successor if our business is reorganised, merged or sold, subject to this policy.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
-
International transfers
We work with clients, publishers and service providers around the world, so your information may be processed in countries outside the United Kingdom and the European Economic Area, including Pakistan and the United States. Where UK or EU law requires, we protect transfers using appropriate safeguards, such as an adequacy decision, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses, or contractual confidentiality and data protection commitments. You can contact us for more information about the safeguards we use.
-
How long we keep information
We keep personal information only as long as we need it for the purposes above. Typical periods are:
- Enquiries and prospects who do not become clients: up to 24 months after our last meaningful contact.
- Publisher and editor contact records: up to 24 months after our last interaction, unless a placement or warranty is still active.
- Client records, contracts, reports, placement logs and invoices: at least six years after the relationship ends, to meet tax, accounting and legal requirements.
- Newsletter subscriptions: until you unsubscribe.
- Opt-out and suppression records: kept so we can honour your request.
- Website and security logs: generally up to 12 months.
When information is no longer needed, we delete or anonymise it.
-
White-label services for agencies
When we provide white-label outreach for an SEO agency, we process information about the agency’s clients on the agency’s instructions, acting as its processor. We do not contact those end clients directly or use their information for our own marketing. The agency is responsible for giving its own clients any required privacy information. On request, we can sign a data processing agreement.
-
Security
We use technical and organisational measures appropriate to the risk, such as access controls and role-based permissions in our systems, confidentiality obligations for team members and contractors, need-to-know access, and secure hosting. No online system is completely secure, so we cannot guarantee absolute security. If you share access to your accounts with us, please use limited or view-only roles where possible and remove access when the project ends. If a data breach affects you, we will notify you and the relevant authority where the law requires.
-
Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your information;
- ask us to restrict how we use it;
- receive your information in a portable format;
- object to our use of your information, including an absolute right to object to direct marketing;
- withdraw consent at any time where we rely on consent;
- not be subject to decisions based solely on automated processing (we do not make such decisions).
To exercise a right, email hello@thedigitalbattalion.com. We may need to verify your identity. We usually respond within one month, and we do not charge a fee unless a request is clearly unfounded or excessive.
If you are unhappy with how we handle your information, please contact us first so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk, telephone 0303 123 1113) or to the data protection authority in your country in the EEA.
California and other US states
If you live in California or another US state with a privacy law, you may have the right to know what personal information we collect, to request access, correction or deletion, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by these laws, and we will not discriminate against you for exercising your rights. You may use an authorised agent to make a request on your behalf.
Other regions
If you are in Canada, Australia, Singapore, the United Arab Emirates, Israel or another country with its own privacy law, you may have additional rights. Contact us and we will respond as the applicable law requires.
-
Children’s privacy
Our services are for businesses and professionals. Our website is not directed at anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
-
Third-party websites
Our website and communications may link to third-party sites, including social media platforms (Facebook, Instagram, LinkedIn, YouTube and X) and client or publisher websites. We are not responsible for their content or privacy practices, so please read their policies.
-
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it was last revised. If we make significant changes, we will take reasonable steps to tell you, for example by a notice on our website or by email.
